Give external recipients the access the work requires. Your team uses one sharing workflow, with protection and control built into the process.

For documents that need to be reviewed, give recipients access through the controlled viewer. Verify the recipient, add a visible watermark, and restrict downloads according to the share’s settings.
For proposals, reports, board papers, and confidential reviews.
Download
Some recipients need a document for their own records. Allow a download deliberately, using the original or supported protected-download option permitted for the share. Keep the delivery activity with the rest of the sharing history.
For completed agreements, formal delivery, and documents the recipient must retain.
Ending access prevents future access through DocLoq. It does not retrieve an original file that has already been downloaded.
Collaborate
Let external partners collaborate in Microsoft 365 when reading or downloading is not enough. Use the collaboration roles and organisational identity model required for the engagement.
For contract drafting, partner projects, and shared deliverables.
Collaboration can use guest access and Entra policies where the access model requires them.
Apply the controls appropriate to the document and the recipient.
A watermark discourages redistribution and identifies the intended recipient. It does not prevent someone from photographing their screen.

For everyday view and download requests, recipients can verify with a one-time email code. That avoids creating a tenant guest for each recipient. Use federated or collaboration access when the work and your policies require it.
Keep documents and recipients organised as the work changes. Manage access, review activity, and end the share when the engagement is over.
