Give teams a consistent way to share within your organisation’s rules. Administrators control the available sharing options and policies; owners manage their shares inside those boundaries.
IT, security, and governance
Control who shares what, with whom, and under which policies.
Keep shared content stored in your Microsoft 365 tenant. Define how it can be shared, avoid unnecessary guest accounts, and review DocLoq sharing activity in one place.
Set the boundaries once. Apply them to sharing.
| Control area | What you control |
|---|---|
| Who can share | Which users can create and manage DocLoq shares. |
| What can be shared | Which supported source locations and document rules apply. |
| Recipient access | Which sharing and identity options are available. |
| Document protection | Which watermarking and download settings apply. |
| Duration | How expiry and access lifecycle are controlled. |
| Oversight | How administrators review active shares and sharing activity. |
All DocLoq sharing activity. One audit trail.
Start with the share and see its history: the owner, documents, recipients, access activity, and changes over time. Review the workflow without reconstructing it from disconnected records.
Microsoft 365 retains its own platform logs. DocLoq brings the activity from its sharing workflow together for operational review.
- Who was involved?
- What was shared?
- What changed?
Your documents stay stored in your Microsoft 365 tenant.
DocLoq uses a dedicated SharePoint Embedded workspace for shared documents inside your Microsoft 365 tenant. Your source documents remain in Microsoft 365, and you do not move the sharing repository to another file-hosting service.

DocLoq control layer
One workflow. Controls throughout.
Identity & verification
Email OTP for everyday shares. Organisational access where required.
Policy & protection
Recipient access, expiry, watermarking and permitted download options.
Activity & access management
Review the share’s history and manage access as the engagement changes.
Viewing and protection can involve processing and content delivery outside the storage boundary.
External recipient
Verified recipient access
View, download or collaborate
Verified viewing or collaboration; a copy is delivered when a download is permitted.
Authorised content flow: sharing workspace → DocLoq processing → recipient
Metadata and control flow: DocLoq manages share settings, recipient access and activity records separately from document storage.
| Area | Explanation |
|---|---|
| Source documents | Remain in their Microsoft 365 source location. |
| Shared document set | Stored in a dedicated SharePoint Embedded workspace in your tenant. |
| Processing and viewing | DocLoq components can process or deliver content to provide the selected protection and viewing experience. |
| Permitted download | A copy is delivered to the recipient when the share allows it. |
| Operational data | DocLoq holds the metadata needed to manage recipients, access, policies, and sharing activity. |
Avoid unnecessary guests. Use the identity the work requires.
OTP access lets recipients verify by email without a tenant guest account for that sharing path. Use organisational sign-in and guest access when collaboration or your identity policies require them.
Entra controls such as Conditional Access and MFA apply through the relevant Entra authentication path. Email OTP is a different verification mechanism.
| Access path | Recipient experience | Tenant guest |
|---|---|---|
| OTP view or download | Verify with a one-time email code | Not needed for this path |
| Federated access | Sign in through the configured identity flow | Depends on the implemented flow and tenant policy |
| Microsoft 365 collaboration | Use the identity and permissions required for collaboration | Used where required by the collaboration model |
Built around the Microsoft 365 environment you already manage.
DocLoq connects the document, identity, and sharing controls around a practical business workflow. Your Microsoft 365 environment remains the content foundation.

|---|---|
| SharePoint, OneDrive, and Teams | Start with the documents your teams already use. |
| SharePoint Embedded | Keep the sharing workspace inside your tenant. |
| Microsoft Entra ID | Apply the identity path required for users and collaborators. |
